This Privacy Policy explains how your personal information is collected, used, stored, and protected when a business uses the VBC Hiring platform ("the Platform") to manage its recruitment. The hiring business is the data fiduciary responsible for applicant data; VBC operates the Platform on its behalf.
1. Information we collect
From business users (owners and team members): name, email, phone, business details, and login credentials.
From applicants: name, contact details, CV/resume, skills and experience, application responses, telephonic screening notes, interview details, assessment answers and scores, a live verification photo, and onboarding documents you choose to submit (such as identity, address, bank, and education or experience proofs).
2. Why we use this information
Solely to carry out recruitment for the hiring business - receiving applications, screening, assessment, interviews, offers, background checks, onboarding, and related communication. We do not sell personal data, and we do not use applicant data for advertising.
3. Consent
Applicants provide consent when they apply or submit information. You may withdraw consent at any time by contacting the hiring business; withdrawing consent may mean an application can no longer be processed.
4. How long we keep it
Each business sets its own retention period (by default 180 days after a hiring cycle), after which applicant data is scheduled for deletion. Records required for legal or statutory reasons may be kept for the period the law requires.
5. Who can see it
Only the hiring business's authorised owner and team members. Limited service providers (for hosting, email, and AI-assisted screening) process data strictly to run the Platform. Applicant data is never shared across different businesses on the Platform.
6. Security
We use reasonable technical and organisational measures to protect personal data, including access controls and per-business separation of records. No system is perfectly secure, and we cannot guarantee absolute security.
7. Your rights
Subject to applicable law, individuals may request access to, correction of, or deletion of their personal data, and may withdraw consent. To exercise these rights, contact the hiring business that collected your information.
8. Children
The Platform is intended for hiring adults and is not directed at anyone under 18. We do not knowingly collect data from minors.
9. Changes
We may update this policy from time to time. Material changes will be reflected by updating the date above.
